POSITION:                                        Student Account Representative

 

GRADE AND SALARY:                 28

POSITION REPORTS TO:               Bursar

 

JOB FUNCTION: Responsible for all cash transactions within the college; issues receipts for payments received, obtains documentation for disbursements, safeguards and balances currency, coins and checks. Respond to inquiries on tuition accounts from students/parents and take follow-up action as needed. Assists the Director of Student Accounts with student account activity and transactions. 

 

ESSENTIAL ELEMENTS: 

 

1.      Processes payments on student tuition accounts, college departmental accounts, and student club accounts.

2.      Disburses “Petty Cash” to college student club accounts.

3.      Balances cash drawer daily and prepares deposit for bank.

4.      Maintains coin vault, supervises the counting and wrapping of coins from campus vending machines and parking area.

5.      Distributes weekly refund checks.

6.      Processes payments on scholarships received from outside sources and maintains documentation files.

7.      Monitors student’s accounts for accuracy of Business Office ‘HOLD’ flag.

8.      Authorizes release of grades as accounts are paid.

9.      Reviews all documentation on add/drop adjustments before transactions are invoiced on student accounts, furnishes billing codes, and prepares audit tape for Asst. Controller.

10.  Analyzes individual tuition accounts, verifies payment information, and approves a student’s update to “registered” status at the beginning of each semester.

11.  Answers inquiries from students and parents regarding tuition accounts, and college policies.

12.  Records all student loan checks received in the Business Office, documents activity on checks, safeguards checks until student endorses.

13.  Processes and posts all miscellaneous EFT loans not transmitted through Datatel system.

14.  Assists Director of Student Accounts with monitoring term dates on checks and contacting students.

15.  Analyzes student accounts for status regarding escrow deposits, executes necessary action, prepares and mails notices to students advising them of action taken.

16.  Prepares cash advances and tickets for athletic events; balances proceeds.

17.  Generates report for student accounts with credit balances, reviews each account for activity that created the credit, and prepares refund requisitions as needed.

18.  Appropriate use and management of a personal King’s College email account.

19.  Use and management of a personal King’s College Web Advisor account.

20.  Proficient and professional use of the college’s telephone system.

21.  Basic Microsoft Office Utilization (Word, Excel, Access, PowerPoint)

 

NON-ESSENTIAL ELEMENTS:

 

1.      Maintains inventory of supplies (envelopes, forms, etc.)

2.      Trains and supervises student aide(s).

3.      Performs other duties as assigned.

 

 

REQUIRED SKILLS, EXPERIENCE AND TRAINING:

 

Proficiency in word-processing, spreadsheet, and data base applications.  Excellent typing skills and mathematical ability.  Well developed organizational and interpersonal skills.  Effective written and oral communication skills.

 

WORKING CONDITIONS:

 

Typical office working conditions.  Finger dexterity, ability to sit for periods of time.
