POSITION:                                        Athletic Business and Operations Coordinator

 

GRADE:                                             Exempt:  Salaried Position

 

DEPARTMENT:                                Athletics

 

REPORTS TO:                                   Director of Intercollegiate Athletics and Recreation

 

JOB FUNCTION:  The Business and Operations Coordinator is responsible for contest management of 23 varsity sports, executing relevant facets of employment hires for athletic personnel, managing and coordinating the organization for the Athletics department’s business operations, and assisting with team travel, special events, ticket operations and projects.   In addition, the Coordinator will interface with and manage any athletic interns and student workers as needed.

 

ESSENTIAL ELEMENTS: 

 

1.      Independently oversee and manage the administrative operations of all regular and post season athletics events for 23 NCAA varsity sports; ensure all necessary schedules, game contracts, NCAA compliance paperwork, official assignments, travel advance forms and arrangements are submitted in accordance with all NCAA rules and operational procedures  

2.      Assist Director with monitoring all operating budget expenses, makes recommendations for cost effectiveness, tracks all credits cards accounts, invoices and reimbursements

3.      Interface with the Business Office for all payment of officials, game management and workers including W-9 forms for athletic contests personnel

4.      Responsible for the management of all official team rosters in the Datatel System

5.      Responsible for managing the travel budgets for teams and individuals in the athletic department by consulting with the coach/traveler to determine needs of trip and desired spending, negotiating contracts, rates with hotels and ground transportation vendors; coordinating meals and other expense funds in advance and in accordance with operating budget

6.      Manage student workers and athletic interns with athletics administrative assignments

7.      Responsible for complete ticket operations, dispersing and reconciling funds, hiring and supervising ticket takers for home football, basketball and championships events

8.      Knowledge of college P-card procedures to monitor and assist with all allocations for part time coaches; exercise proficiency in running expense reports for P-card system for athletic department expenses for budget preparation

9.      Records all scheduled events on master calendar and updates any changes or additions to the schedule

10.  Manages the process of new personnel hiring paperwork and/or all athletic positions in conjunction with Human Resources

11.  Completes background checks of current student athletes hosting athletic recruits

12.  Responsible for managing all NCAA certification forms to specific organizations (NCAA, MAC) 

13.  Responsible for assisting the Director of Intercollegiate Athletics and Recreation with the completion of NCAA reports such as the annual EADA (financial), Demographic and Sport Sponsorships and NCAA Graduation reports

 

 

NON-ESSENTIAL ELEMENTS:

 

1.      Performs other related duties as assigned

 

 

 

EDUCATION--Bachelor’s Degree preferred

 

 

 

REQUIRED SKILLS, EXPERIENCE AND TRAINING: 

1.      Previous experience working within intercollegiate athletics environment preferred

2.      Ability to make sound decisions and to direct others within the department

3.      Well-developed organizational and interpersonal skills

4.      Effective oral communication skills 

5.      Strong computer skills including proficiency in Microsoft Office (Excel, Word, Power Point)

6.      Basic understanding of NCAA Compliance and Regulations

7.      Excellent attention to detail

8.      Strong financial and accounting skills

 

 

WORKING CONDITIONS: 

1.      Occasional night and weekend work

2.      Ability to be outdoors for athletic events

3.      The ability to stand for reasonable lengths of time

4.      Office work with the ability to sit for reasonable lengths of times
