POSITION:                            Administrative Secretary/Office Manager

 

GRADE AND SALARY:      27

 

DEPARTMENT:                    Campus Ministry

 

SCHEDULE:                          Full time  10 months

 

POSITION REPORTS TO:    Director of Campus Ministry

 

JOB FUNCTION:  Manages the Campus Ministry Office and provides secretarial services for Campus Ministry and the Shoval Center.

                              

ESSENTIAL ELEMENTS:

 

  1.  Related to Campus Ministry

 

1.                  Manages the Campus Ministry Office.

2.                  Provides secretarial support for the Office of Campus Ministry.

3.                  Greets visitors and answers the phone in the Campus Ministry Office.

4.                  Prepares, files, and retrieves documents.

5.                  Guides and trains student aides in office practices and procedures.

6.                  Ensures that the office area, chapel, sacristy and Moreau Auditorium are in proper order.

7.                  Sets up before and cleans up after weekday liturgies.

8.                  Oversees the care of the chapel linens and liturgical vestments.

9.                  Counts various monetary collections and deposits the proceeds in the Business Office.

10.              Reconciles office expense records with budget reports.

11.              Orders supplies for the chapel, office and kitchenette, i.e., candles, altar breads, wine.

12.              Informs Security of after-hours and special events in the Chapel building.

13.              Coordinates with Conference and Events in scheduling events using Campus Ministry facilities.

14.              Schedules daily Mass offerings and presiders.

15.              Provides Mass cards, maintains supply on hand, and keeps proper records.

16.              Prepares letters, invitations and announcements for all Campus Ministry events as requested.

17.              Assists in informing King’s Today, The Crown and WKRC concerning Campus Ministry events.

18.              Attends Campus Ministry staff meetings.

19.              Assists as needed in the preparation of liturgical aids and the weekly bulletin.

20.              Assists in maintaining and updating the Campus Ministry webpage, and bulletin boards

 

B.      Related to the Shoval Center

 

                                    

 

1.    Coordinates process for obtaining and filing Clearances for students engaged in service-learning placements with minors. 

2.      Help recruit students to engage in service-learning and other service programs. 

3.      Help facilitate initial contacts between students and nonprofits.

4.      Maintain contact with students, faculty, and community partners throughout service-learning projects, to ensure completion and quality of projects.

5.      Assist the Shoval Center in the collection, analysis, and publicity of surveys related to service-learning and other service programs.

6.      Participate as needed in meetings of the Shoval Center staff and the Service-Learning Project Team

 

NON-ESSENTIAL ELEMENTS:

 

1.      Performs other duties as assigned.

 

 

REQUIRED SKILLS, EXPERIENCE AND TRAINING:

 

1.                  Well-developed interpersonal skills.  Ability to get along with diverse personalities.

2.                  Proficiency in using the College’s e-mail system, Web Advisior Account, Telephone System and thorough Microsoft Office Utilization to include; Word (including Mail Merge), Excel, Access, PowerPoint, FrontPage & Publisher.

3.                  Support skills including, accuracy, word processing, filing and record keeping.

4.                  Ability to effectively communicate with others (written and verbal) and the capacity to meet timely deadlines is required.

5.                  Excellent telephone, organizational and interpersonal skills are essential in order to effectively communicate with all members of the college community and external constituents.

6.                  Flexibility in day-to-day assignments and ability to work in sensitive situations with understanding and compassion. Confidentiality is required.

7.                  Strong organizational and math skills.

8.                  Ability to establish effective working relationships with co-workers, staff and faculty of the College.

WORKING CONDITIONS: Ability to sit for long periods of time. Ability to stand, reach, walk, bend, stoop, and twist. Finger dexterity. Ability to occasionally lift 10-15 lbs. Typical office working conditions.
