POSITION:                            Administrative Specialist - McGowan School of Business

 

CLASSIFICATION:              Exempt

 

DEPARTMENT:                    McGowan School of Business

 

WORK SCHEDULE:            8:30 a.m. to 4:30 p.m.

                                                Monday through Friday

 

REPORTS TO:                       Dean of McGowan School of Business

 

JOB FUNCTION:                  Administrative Specialist for the McGowan School of Business providing administrative support to the Dean of the McGowan School of Business, Business School Faculty, and other Faculty as assigned.

 

ESSENTIAL ELEMENTS: 

 

1.      Ability to work independently is essential in order to effectively support the needs of the Departments.

2.      Perform administrative support services for the McGowan School of Business and Faculty to include; managing the daily operation of the office, processes various communications, and responding to various inquiries and requests for information.

3.      Responsible for reviewing, analyzing, assessing and processing information, records and transcripts for determining academic credit and eligibility for degrees and specialized program designations within the Business Department.  Greet visitors (prospective students, current students, faculty, etc.) to provide them with appropriate information in a professional and pleasant manner.

4.      Oversees reservations & scheduling for breakout rooms, conference rooms, and audiovisual equipment and routes the reservation information to appropriate offices.

5.      Responsible for scheduling all appointments and meetings for all faculty of Business School. 

6.      Assist Dean in the preparation of teaching schedules, College catalog, and program planners.

7.      Supervises, delegates, and approves payroll for student aides in the Business School. Schedule their availability to coincide with faculty needs.

8.      Revise, updates and circulates major course planners.

9.      Organizes and facilitates textbook orders, order desk copies of text books, text examination requests, and request for instructional materials.

10.  Maintain and review student files on all the Business Majors and checks each student’s advisee files on a regular basis to ensure requirements are met to keep in good academic standing.

11.  Organizes and distributes in-coming and out-going mail.

12.  Photocopy, scanning, and maintenance of photocopier.

13.  Order all provision/office supplies for the McGowan School of Business.

14.  Maintain binders in AACSB document room, including scanning documents, creating files, organizing test binders and syllabi binders which need constant updating each semester for the AACSB Accreditation to meet their standards.

15.  Assists in maintaining the record keeping system for assurance of learning activities within the Business School; facilitates and coordinates meeting of Business School Assurance of Learning committees.

16.  Assists in maintaining all records for Faculty Development Funds and Department Budgets for Business Faculty Travel and Conferences.  Completes Travel Requests and Travel Return.

17.  Update documentation in Sedona data management system supporting AACSB Accreditation.

18.  Communicate as required with all offices in the College.

19.  Assists with preparing necessary paperwork for hiring part-time faculty in Business School.

 

NON-ESSENTIAL ELEMENTS:

 

1.      Assists Business School faculty in making arrangements for meetings of academic organizations and clubs on campus.

2.      Performs other duties as presented and assigned.

 

 

 

REQUIRED SKILLS, EXPERIENCE AND TRAINING:

1.      Bachelor’s degree and a minimum of 2 years’ experience in a supporting role function.

2.      Excellent administrative, communication and interpersonal skills required in order to effectively interact with all members of the Faculty, Staff & Student Body associated with the McGowan School of Business, as well as outside constituents.

3.      Proficient use of computer software packages, including, but not limited to Microsoft Word, Publisher, Excel and Sedona.  The ability to mail merge documents is essential.

4.      Ability to deal effectively and diplomatically with students, faculty, administrators and representatives of the business community is essential.

5.      The technical ability to be able to adapt to using Business Software systems that would provide information and support for the McGowan School of Business, Admissions, Registrar and Alumni Offices.

 

WORKING CONDITIONS: Typical office working conditions.  Finger dexterity, ability to sit for long periods of time.
