POSITION:                                         Administrative Assistant

                                                            Part-Time -10 month (44 weeks)

 

GRADE:                                             27

 

DEPARTMENT:                                Math, Natural Sciences, and Psychology

 

REPORTS TO:                                   Associate Vice President for Academic Affairs

 

JOB FUNCTION:

 

Provides clerical and technical support to the faculty members of the Math, Natural Sciences, and Psychology Departments.

 

 ESSENTIAL ELEMENTS: 

 

1.     Assists faculty with the preparation and photocopying and scanning of professional materials (examinations, syllabi, instructional materials, abstracts for publication, etc.).

2.     Assists faculty with recommendation letter mailings for student applications to professional schools as needed.

3.     Assists with correspondence utilizing the computer as appropriate.

4.     Receives visitors and students as necessary, providing them with appropriate information and assistance.

5.     Maintains usage records of copy machine and Scantron along with other office equipment and coordinates charge-backs to appropriate departments through the Business Office.

6.     Responsible for maintaining Copy Room, P 102, Parente Life Sciences Center (maintaining copy machines and office supplies, scheduling service calls, changing toner, keeping appropriate supplies/paper on hand, monitoring FAX machine, Scantron, etc.).

7.     Orders office supplies per the OfficeMax Ordering Program and records monthly ordering and billing appropriately through the Business Office for appropriate departments.

8.     Responsible for managing student aides assigned to office, including work assignments, time cards, and scheduling.

9.     As part of the King’s College Lab Safety Program, assists Biology Laboratory Director with correspondence to all science students (incoming and current) pertaining to lab safety issues.

10.  Assists Chairperson of the IRB Committee (Institutional Review Board) by receiving on-line applications, checking applications for proper completion, recording data, and keeping copies of certificates on file utilizing Excel spreadsheets. 

11.  Appropriate use and management of personal King’s College email and Web Advisor accounts.

12.  Proficient and professional use of the College’s telephone system.

13.  Basic Microsoft Utilization, (including: Word, Excel, Access, PowerPoint, FrontPage, & Publisher).

 

 

NON-ESSENTIAL ELEMENTS:

 

1.     Performs other duties as assigned.

 

REQUIRED SKILLS, EXPERIENCE AND TRAINING:

 

1.     Excellent communication and organizational skills.

2.     Ability to work well with faculty, administrators, staff, and students.

3.     Experience with filing, inventory maintenance, simple bookkeeping.

4.     Excellent typing and word-processing ability and knowledge of appropriate computer software.

5.     Attends institutional training seminars to maintain and upgrade computer skills.

6.     Attains, every three years as part of OSHA compliance standards, Biohazard Waste Collection Training in order to provide as needed substitute signatures for waste removal.

7.     Attains, every two years, appropriate NIH (National Institutes of Health) on-line training for the Ethical Treatment of Humans.
